Policy 5.14 – Memorial Award

 

POLICY TITLE:                  ACKNOWLEDGING OUTSTANDING SERVICE

POLICY NUMBER:                        5.14

POLICY STATEMENT:

Outstanding lifetime service may be acknowledged by way of appropriate recognition systems and awards

EXPECTED OUTCOMES:

–  Outstanding volunteer effort by an individual may be recognised

–  An avenue will exist for the Volunteer Association to exhibit its appreciation of such service

–  Clear guidelines about how such recognition is determined will be available

 

PROCEDURES (To implement Policy)

1.   From time to time, the Board may wish to acknowledge and honour the exceptional lifetime service of a passing or retiring long standing member of the Volunteer Association, at a level which is beyond that which is acknowledged by Life Membership.

2.   The purpose of doing so would be to publicly acknowledge the members outstanding service, and to provide an avenue whereby the Volunteer Association can exhibit a practical demonstration of this appreciation.

3.   Nominations for such an acknowledgement will be brought to the attention of the Board by any member of the Board or the Executive Officer. Nominations should document clearly why the nominee believes that the proposed awardee is worthy of such an honour.

4.   Nominations for such an acknowledgement would be open to all members of the Association (both paid and unpaid) who were deemed to have given exceptional lifelong service.

5.   Typically, the following list of attributes may be those which candidates for such an honour would exhibit (but not be restricted to):

  • Given multiple years of faithful service
  • Been awarded Life Membership
  • Contributed significantly to the life of the Association through Board membership or excellence in a particular area of the Association’s operations

6.   Where it was agreed that a nominee was an appropriate candidate (by a majority vote of Board members), discussions should take place about an appropriate form of recognition to acknowledge the particular nominees contribution. In cases where a member has passed away, consultation should include the member’s family.

7.   Suggestions of the type of recognition that may be appropriate would include (but not be restricted to):

a) a cash donation in memory / honour of the nominee (eg to the cancer council)

b) a donation of resources in memory / honour of the nominee (eg medical books)

c) a scholarship to attend a conference or undertake some study

d) the donation of an engraved garden bench or other piece of equipment in memory / honour of the nominee

8.   This would not be an annual award, but rather awarded as required. There would be no restriction as to the number of awards which can be given in any one year.

9. The amount allocated to celebrate a new award winner will be determined by the Board of the day

10. An announcement of any recognition will be made at the Annual General Meeting each year
